Overview
ADMINISTRATIVE ASSISTANT
Prepare, key in, edit and proofread correspondence, invoices, insurance forms, reports and related material from machine dictation and handwritten copy
Work closely and assist our Project Managers who plans & directs our restoration projects
Open and distribute incoming regular and electronic mail and other material and co-ordinate the flow of information internally and with supervisors, restoration teams and managers
Order office supplies and maintain inventory required by restoration projects
Answer telephone and electronic enquiries and relay telephone calls and messages
Set up and maintain manual and computerized information filing systems
Work on established office procedures and update as required
Record and prepare minutes of meetings for restoration projects when applicable
May supervise and train office staff in procedures and in use of current software as directed by supervisor

CLEANING SUPERVISORS
Supervise and co-ordinate the work of light duty, industrial or specialized cleaners and janitors
Inspect sites or facilities to ensure established safety and cleanliness standards are met
Recommend or arrange for additional services required such as painting, repair work, renovations or replacement of furnishings and equipment
Hire and train cleaning staff
Prepare work schedule and co-ordinate activities with those of other departments
Prepare budget, estimate costs and keep financial records
May perform certain cleaning duties.
