Responsibilities
• Welcome visitors and contractors to the office.
• Handle phone calls and emails from customers asking about parcels and pass
information to drivers or dispatch when required.
• Prepare daily delivery sheets, invoices, and basic payroll records for office use.
• Enter shipment details into the system and keep electronic and paper files
organized for easy reference.
• Schedule pick-ups, client meetings, and service appointments, confirming times
with customers and staff.
• Receive incoming mail and courier packages and make sure they are directed to
the right person or department.
• Look after office supplies such as courier slips, printer paper, and stationery,
placing orders when stock is low.
• Take meeting notes for management, type summaries, and share them with staff
for follow-up.
• Compile simple reports on deliveries completed, late shipments, and customer
issues for management review.
• Set up and maintain office routines like recording parcel logs, tracking delays, and
documenting customer complaints.
• Train new staff on parcel-tracking software and explain office procedures.
