Overview
Responsibilities:
Provide comprehensive administrative support, including managing correspondence, scheduling appointments and maintaining organized filing systems.
Prepare and review financial documents, such as invoices, pay stubs, mortgage and debt consolidation tax reports.
Assist Spanish-speaking clients, which constitutes approximately 40% of the role (depending on market needs, StatCan 2024), by providing administrative information, collecting documents and coordinating communications (without offering direct financial advice).
Use loan origination systems, particularly Filogix Expert Lender, to track customer files, generate regulatory forms and collaborate with banking partners.
Manage customer data and track interactions using Zoho CRM.
Implement artificial intelligence tools, such as ChatGPT-4o to automate customer service responses and QuickBooks AI for financial forecasting, reducing administrative burden by 30%.
Support the expansion of the company’s services into the Spanish-speaking Canadian market, providing relevant cultural and linguistic information.
Coordinate the flow of information between internal departments, lenders and external partners (notaries, mortgage brokers, insurers).
Perform other financial administrative tasks as needed.
Requirements:
High school diploma; post-secondary training in administration, accounting or finance is an asset.
Native command of Spanish and functional level of English (oral and written); basic knowledge of French is an asset.
Minimum of one year of experience in administrative functions, preferably in the financial or mortgage sector.
IMPORTANT: Have certification and/or experience with Filogix Expert Lender and Zoho CRM before employment begins.
Commitment to learning and applying artificial intelligence tools (ChatGPT-4o, QuickBooks AI) in the workplace.
Strong organizational skills, meticulous document management and ability to work independently and in a team.
