Position: Administrative Assistant
Location: Massage Addict Centre – Calgary, Alberta
About Us
Massage Addict is a fast‑growing, Canadian company dedicated to providing high‑quality therapeutic services in a professional, welcoming clinic environment. Our Calgary clinic supports Registered Massage Therapists and other providers so they can focus on client care while we handle the administration and day‑to‑day operations.
Key Responsibilities
Greet clients, check them in and out, and provide an exceptional front‑desk experience at all times.
Answer phone calls and electronic inquiries, book and confirm appointments, and manage the clinic schedule.
Maintain a working knowledge of all Massage Addict services and membership options and explain them clearly to clients.
Process payments, issue receipts, and handle billing‑related administrative tasks in an accurate and timely manner.
Prepare and update client files and forms, ensuring confidentiality and compliance with clinic policies.
Keep the reception and client‑facing areas clean, organized, and stocked (including treatment rooms as needed).
Coordinate email/phone reminders, rescheduling, and follow‑ups to help maintain a full and efficient schedule.
Support clinic management with general office tasks such as mail, inventory of office/clinic supplies, and basic reporting.
Qualifications
Secondary school (high school) completion required; post‑secondary in administration or a related field is an asset.
1–2 years of experience in an administrative, reception, or guest services role, preferably in a clinic, spa, or wellness setting.
Strong customer service skills with a professional, friendly, and empathetic communication style.
Comfortable working in a fast‑paced environment, multitasking, and prioritizing with minimal supervision.
Proficient with computers, scheduling/booking software, email, and basic MS Office (Word, Excel, Outlook).
High attention to detail and accuracy in data entry, cash handling, and record‑keeping.
Ability to work evenings and weekends as part of a rotating schedule, based on clinic needs.
